Admin automation for real businesses

Your admin, on autopilot.

Steadywork finds the administrative work eating your week — the phone, the paperwork, the follow-ups, the double data entry — then automates it and keeps it running. The goal is simple: give you your week back.

What we automate

The painful administrative work — the retyping, the chasing, the paperwork, the "did anyone tell the crew?" It has to happen, but it doesn't need a person doing it. We wire it into the tools you already use — no rip-and-replace, and as little new to learn as possible.

Missed calls & lead follow-up

Missed calls get a text back in seconds. Leads get followed up automatically — with opt-out built in — until they book or say no.

Invoicing, quotes & paperwork

Invoices go out on time, and reminders keep going until they're handled. Quotes, forms, and documents fill themselves in from information you've already entered once.

Double entry & retyping

The same job details typed into three systems by three people. We connect what you run so it's entered once and flows to the systems that need it — no copy-paste, no version drift.

Handoffs that keep stalling

Work moving from sold to scheduled to done to invoiced without anyone shepherding it. Assignments, status changes, and updates reach the people affected on their own.

Intake & the questions you answer daily

New callers, web forms, maintenance requests, certificate requests, referrals — captured and answered instantly, around the clock, with a human looped in the moment it matters.

Reporting, notes & the rest

Calls and meetings logged automatically. The numbers that matter in plain English in your inbox. If a repetitive task eats your team's hours, it's a candidate — that's what the audit finds.

Who we help

Different industries, same problem: the work that has to happen between the work. If your business is on this list, the pain next to it probably sounds familiar — and if it isn't, ask anyway. The pattern usually holds.

Home services

HVAC, plumbing, electrical, roofing. Calls to voicemail after hours. Quotes sent that never get a second follow-up.

Property management & HOAs

Maintenance requests arriving through three channels at 9pm. Tenants and owners chasing you for updates nobody had time to send.

Insurance agencies

Certificate requests that take days. Renewals that need reviewing before the date, not after. Quote comparisons rebuilt from scratch every time.

Law firms

Intake calls that arrive when the office is closed — and go to whoever answers first. Documents rebuilt from templates by hand.

Accounting & bookkeeping

Half of tax season spent chasing clients for paperwork. Onboarding that repeats the same twelve steps for every new client.

Title & escrow

Agent, lender, buyer, and seller all waiting on a status update somebody has to type four times.

Staffing & recruiting

Candidates who never hear back — not because you don't care, but because nobody had the hours. Job orders that stall between intake and placement.

Contractors & remodelers

Bids that die quietly. Change orders written at 10pm. Subs and owners asking where things stand.

Manufacturing & distribution

Schedules built by hand every week and stale by Tuesday. Orders retyped between systems. Status nobody can see without asking.

How it works

Three steps. The first one tells you what's worth automating first, and gets credited toward your build if you move ahead.

1

The audit — from $1,500

A working session on your actual operation. You get a written report: where the hours and jobs are leaking, what to automate first, and each fix's estimated return. $1,500 for small teams, $2,500 for ops-heavy companies — and a founding-client rate of $750 for our first three clients. Credited toward your build.

2

The build

Fixed quote in writing before you pay anything. Starter automations from $199/mo, fully managed. Bigger workflow builds — the kind that replace an entire manual process — from $6,500, plus a monthly care plan sized to your stack (from $450/mo), priced against their estimated return.

3

Keep it running

Automations break silently — apps update, numbers change. We monitor, fix, and improve, with a plain-English monthly report. Cancel anytime; everything stays yours.

Built on a factory floor, not in a pitch deck

Before Steadywork was a company, it was a fix for a real problem. At the Ogden manufacturer where Steadywork's founder worked, every production manager spent 2–4 hours a week building the schedule by hand — 12–16 hours of management time, gone, every week — and the schedule went stale the moment a single date moved.

12–16 hours a week, back

The system pulls order data straight from QuickBooks and does the work itself. Managers went back to managing.

No more stale schedule

When something changes, the live version updates and the change reaches everyone affected — nobody chasing people down with new versions.

Smarter than a whiteboard

It now handles more constraints than anyone could juggle by hand.

One project, on our own floor — but it's the pattern we look for everywhere: find the manual process quietly eating hours, hand it to a system, keep it honest. Your numbers will differ; that's why the audit comes first.

Run a home-service company?

HVAC, plumbing, electrical, roofing — industry estimates put 30–40% of peak-season calls unanswered, and most callers won't leave a voicemail. Run your own numbers on what that could be costing you. (Not in the trades? The same math runs on any missed inquiry — bring yours to the call.)

The person behind it

I'm Alex. Steadywork started as a fix for my own team: at a manufacturing company in Ogden, our managers were spending 12–16 hours a week on work a system should have been doing, so I built the system — and it's still running. Almost every owner I talk to is in the same spot those managers were: they've heard AI could help, they've maybe poked at ChatGPT, and nothing in their business actually changed. The tools are real — someone just has to do the work of wiring them into your phone, your paperwork, your invoices.

That's what I do. No jargon, no twelve-month contract, and you own every system I build — if we part ways, it's all yours and keeps running on the accounts you hold.

Straight answers

Do we have to buy new software?

Almost never. We build around what you already run — QuickBooks, Jobber, your calendar, your phone provider — and connect it so information stops being retyped. When something genuinely earns a new tool (the texting platform behind missed-call rescue is one), you'll see the monthly cost next to it before you decide.

Is our data safe?

Here's what we put in writing: client work runs only on business-tier AI services that don't train on your data, credentials are exchanged through an encrypted password manager (never email), and every system we build lives in accounts you own.

What does it cost?

The audit is $1,500 for small teams, $2,500 for ops-heavy companies — $750 while we take on our first three founding clients — and it's credited toward your build whichever tier applies. Starter automations run from $199/mo fully managed, plus a one-time setup fee. Bigger builds get a fixed written quote priced against their estimated return — no hourly meters — with a monthly care plan from $450/mo sized to how much we're running for you. Third-party tool subscriptions are billed to you directly and disclosed up front. Everything is cancel-anytime.

How fast?

Starter automations: about a week of our work. Anything that texts your customers also needs one-time carrier approval for business texting — typically another week or two, outside anyone's control. We file it on day one, and your monthly fee doesn't start until you're live. Bigger workflow builds: a written timeline before you pay, typically a few weeks.

What happens if we cancel?

You keep everything — the systems, the documentation, the video walkthroughs. It all keeps running on accounts you own. No hostages.
